WHY DO WE REQUIRE GUIDANCE ON YOUR BUDGET?

It’s simple. To provide you with the best possible advice on what’s achievable for your custom trip, it’s essential to understand how much you’re willing to invest. For a tailor-made trip, knowing your budget is the only way we can align your expectations with reality and help you get the best value. It also allows us to suggest areas where you might compromise, if necessary, without sacrificing the quality of the experience you're aiming for.

Without clarity on your budget, we might inadvertently make decisions to accommodate a lower estimate, which could result in missed opportunities—such as unique experiences, better hotels, or superior room options—simply because we were being cautious. Conversely, we might invest time designing a trip that exceeds your intended spend, which could lead to disappointment.

Being upfront from the start ensures your Totally Spain Travel Advisor can guide you wisely—helping you decide where it’s worth investing and where you can scale back, all while staying within your budget and achieving the best possible trip.

WHAT HAPPENS NEXT?

Once we receive your request—typically via email—a Totally Spain Travel Specialist will review it and acknowledge receipt. They may reach out with a few questions to clarify details and ensure we fully understand your needs.

Next, we’ll begin preparing a custom proposal* tailored to your brief and budget. The time required to create this depends on the duration and complexity of the trip, but it may take up to 48 hours or longer. Once the proposal is ready, we’ll email it to you for review and invite your feedback. You’ll have the opportunity to suggest any modifications to ensure the trip aligns perfectly with your expectations.

*Please note: All our custom trips include comprehensive land arrangements, such as accommodations, private guides, experiences, and transport. We do not arrange trips without accommodation, nor do we provide booking services for standalone elements like tour guides or transport.

After reviewing your custom trip proposal, simply share your feedback, and we’ll refine the itinerary and services to ensure it meets your needs perfectly.

Please note, we provide up to two custom trip proposals free of charge. Should you require further proposals, a booking commitment in the form of a non-refundable deposit will be required. This deposit will be deducted from the final cost of your trip.

We aim to make the process as seamless and efficient as possible while ensuring your trip is tailored to your exact preferences.

Once you are completely satisfied with your custom trip proposal and give us the go-ahead, we will proceed to confirm all arrangements. At this stage, a booking confirmation deposit is required. Once received, we will secure your hotels, arrange private guides and drivers, and confirm activities and key attractions.

BOOKING DEPOSIT

A minimum deposit of €600 is required to begin securing your arrangements. In some cases, the deposit may be higher due to specific itinerary requirements, such as services needing full payment at the time of booking or suppliers requiring early payment due to high demand or limited availability. We will inform you of any such instances in advance, ensuring full transparency before proceeding with bookings.

For bookings made within 8 weeks of your departure, the final payment is required at the time of booking.

PAYMENT OPTIONS

VISA or Mastercard: Payments can be made via our Secure Online Payment facility, a link to which will be emailed to you.
American Express (AMEX): Payments are processed manually by providing your card details, with a 1% administration fee applied.

Your Totally Spain Travel Advisor will guide you through the process and keep you updated every step of the way.

We require final payment 8 weeks prior to departure to ensure we can:

• Finalise all the arrangements for your trip.
• Prepare your personalised travel documentation.
• Ship your documents to you well in advance, allowing plenty of time for review and preparation.

We ship your travel documents via UPS to ensure safe and timely delivery.

For very late bookings, your documentation will be sent directly to your first hotel, and we will email you copies of the most important documents to ensure you have everything you need upon arrival.

ONCE YOU ARRIVE

Throughout your trip, you’ll have full access to Totally Spain and our team (guides, drivers, etc.) via local phone or email should you need assistance. All contact names and phone numbers for your private guides and drivers will be included in your documentation.

To make communication even more seamless, we highly recommend loading these contacts into your phone before you arrive.

Additionally, WhatsApp is widely used in Spain and Portugal and is an excellent tool for staying connected with everyone involved in your custom trip. If you’re not already using WhatsApp, we suggest downloading it and familiarising yourself with it before you travel.
